Job Description

Are you a passionate, organized, and empathetic individual with a love for animals? VCA Ballard Animal Hospital is seeking a dedicated Veterinary Receptionist to join our busy and friendly team. As the first point of contact for our clients, you will play a crucial role in creating a welcoming atmosphere, managing administrative tasks, and ensuring the smooth operation of our front office. Key Responsibilities

  • Greet clients and their pets warmly upon arrival and manage check-ins/check-outs efficiently.
  • Answer multi-line phone systems, schedule appointments, and manage client inquiries.
  • Maintain accurate electronic medical records, process payments, and manage billing.
  • Prepare examination rooms, ensure cleanliness, and assist with inventory management.
  • Educate clients on preventative care, hospital policies, and services.
  • Handle incoming and outgoing mail, faxes, and emails.
  • Manage client communication regarding appointment reminders, lab results, and medication refills.
  • Provide compassionate support to clients during stressful situations.

Required Skills

  • Minimum 6 months of experience in a customer service role, preferably in a veterinary or medical setting.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in basic computer skills and office software.
  • Ability to handle stressful situations with calmness and empathy.
  • Demonstrated love for animals and understanding of their care needs.

Preferred Qualifications

  • Experience with veterinary practice management software (e.g., Avimark, Cornerstone).
  • High school diploma or GED equivalent; some college coursework preferred.
  • Knowledge of veterinary terminology and procedures.
